About the Job
The Senior Payroll Accountant is responsible for leading and overseeing the full payroll function for a well-known Restaurant Group, including multi-state payroll processing, compliance, reporting, reconciliation, and audit support. This role ensures payroll is processed accurately, timely, and in compliance with federal, state, and local regulations.

In addition to payroll execution, this position manages payroll-related administrative workflows, monitors the payroll email inbox, processes employee pay changes and promotions, and prepares post-payroll reports to support Finance in completing journal entries and financial reporting.

This position operates with a payroll-as-a-service mindset, serving as the primary payroll resource for employees, leadership, and cross-functional teams. The Senior Payroll Accountant partners closely with Finance and Human Resources to ensure payroll integrity, accurate financial reporting, and strong internal controls across all markets.

Essential Job Functions for Senior Payroll Accountant:

Payroll Processing Oversight:
  • Oversee and manage the entire payroll function across all locations and states of operation.
  • Ensure compliance with federal, state, and local wage & hour laws, payroll tax regulations, reporting requirements.
  • Process and/or review semi-monthly payrolls, off-cycle payrolls, bonus payrolls, and special payments.
  • Prepare payroll-related journal entries and complete account reconciliations.
  • Maintain accurate payroll records and support internal and external audits.
  • Serve as the primary point of contact for payroll-related questions, issues, and escalations.
  • Assist with month-end close related to payroll entries and accruals.
  • Support year-end reporting, including W-2 processing and payroll tax filings.
  • Assist with year-end audit requests and compliance documentation.
  • Support payroll integration for acquisitions, new locations, or system transitions.
  • Identify and implement payroll process improvements to enhance accuracy, efficiency, and internal controls.

Payroll Administration & Support:
  • Monitor and manage the payroll email inbox, responding to employee, manager inquiries in a timely, professional manner.
  • Process employee pay changes, promotions, transfers, and other payroll-related change forms.
  • Partner with HR to ensure accuracy of employee data, pay rates, and benefit deductions within ProLiant.
  • Maintain payroll documentation and records in accordance with company policy and audit requirements.
  • Ensure proper configuration of earnings codes, deductions, tax settings, and reporting fields within ProLiant.

Qualifications for Senior Payroll Accountant:

Education & Experience:
  • Bachelor’s degree in accounting, Finance, Human Resources, or related field.
  • 6+ years of progressive payroll or payroll accounting experience.
  • 3 - 5 years of multi-state payroll processing experience.
  • Experience in a multi-location or restaurant environment preferred.

Certifications:
  • Certified Payroll Professional (CPP) preferred.
  • CPA or CPA-track experience a plus.

Technology Skills:
  • Advanced ProLiant HRIS administration and configuration experience preferred.
  • Strong understanding of payroll tax compliance, FLSA, and wage and hour laws.
  • Experience handling payroll audits, inspections, and compliance assessments.

Knowledge, Skills and Abilities for Senior Payroll Account:
  • Strong knowledge of payroll accounting, balance sheet reconciliations, and internal controls.
  • High attention to detail with strong analytical and reconciliation skills.
  • Ability to identify discrepancies and proactively resolve issues.
  • Ability to manage multiple deadlines and prioritize effectively in a fast-paced environment.
  • Professional communication skills with ability to explain payroll and accounting matters clearly.
  • Ability to work cross-functionally with HR, Finance, and Operations.
  • Service-oriented mindset with high level of discretion and confidentiality.
  • Ownership mentality with commitment to accuracy, accountability, and continuous improvement.

Physical Demands:
  • Primarily sedentary office role.
  • Extended periods of computer and data entry work.

Work Environment:
  • Remote - need to live in Nebraska, Kansas, Missouri or Iowa.

Schedule and Availability:
  • Schedule varies based on business needs.
  • Flexibility required, including occasional early mornings, evenings, weekends, and event-based work.
